How to Help Out of Town Guests

A friend is getting married next year and she already knows she has a TON of out of town guests. So it got me thinking about how many things there are to do when you’re traveling for a wedding. So – When you have a lot of out of town guests, it’s nice if you can make their lives a little easier. There are two main aspects of traveling for a wedding: transportation and accomodation.

Transportation

If you are having people travel to your wedding, let people know what airport they should fly into. Many times there are several “nearby” airports and many people might not realize what a difference that can make.

Suggest a cab company to your guests so that they can get to and from the airport with ease.

If necessary, let guests know that they should rent a car — especially if there’s lots of driving involved.

Finally, make sure people can get from their hotel to your wedding – either by cab (providing a phone number) or by renting a shuttle for ease of travel.

Accomodations

Regardless of how many people are coming from out of town, set up a room block for your guests. What’s a room block? Basically, talk to a nearby hotel and they will block off a certain number of rooms so that your guests can book them. Usually they give a discount so that your guests are encouraged to book with them. To set up a room block, just contact a hotel that’s convenient to your wedding, to the airport, or is otherwise a hotel of choice (e.g. if you’re having a breakfast there the next day!)

Keep in mind that not all guests are able to spend the same amount, so even if you set up a room block at a hotel, be sure to let guests know some less expensive or more expensive alternatives.

While none of this is mandatory, it definitely makes life a little easier for those out of town guests.

And, dont forget that your out of town guests want to see pictures! Make sure all your guests upload their photos into one online photo album after the wedding!

  1. A good idea would be to plan in advance and hire out a hotel or venue that has sleeping facilities with your immediate family and it can be like a get away for all of you… seen a couple do that before and it is so amazing!
